Tip 1: Start Planning at Least 60 Days Before Your Move Date
The single biggest mistake business owners make with an office relocation is waiting too long to start planning. A residential move can often come together in two to three weeks. An office move needs a minimum of 60 days of lead time, and 90 days is better. Here is why: your new office lease likely has a build-out or improvement period that needs to be coordinated with the move date. Your IT infrastructure, including internet service, phone systems, servers, and network equipment, needs to be installed and tested at the new location before your team shows up on day one. Your clients and vendors need to be notified of the new address. Your business licenses, insurance, and any regulatory filings may need to be updated. Your mail needs to be forwarded. Your Google Business Profile and website need to reflect the new address on moving day, not two weeks later when someone notices the old address is still showing up.
Build a moving timeline that works backward from your target move date. What needs to happen 60 days out? 30 days out? Two weeks out? One week out? The day before? Moving day itself? The day after? Tip 2: Create a Detailed IT and Technology Migration Plan
Your desks, chairs, and filing cabinets can survive a day without being set up. Your internet connection, phone system, server infrastructure, and network cannot. In a residential move, labeling usually means writing "Kitchen" or "Master Bedroom" on a box. In an office relocation, labeling needs to be far more specific because the consequences of misplaced items are far more expensive. A box of kitchen utensils that ends up in the wrong room at home is a five-minute fix. A box of client files that ends up in the wrong department at the office is a compliance issue, a productivity loss, and potentially a legal liability.
Use a color-coded, room-and-priority labeling system. Assign each department or area of your new office a color: accounting is blue, sales is green, the conference room is yellow, the server room is red, and so on.
